Staff, POS and kitchen logins
How team members sign in on phones and tablets, including kiosk and kitchen-display accounts.
Rowie supports two sign-in surfaces with different account types:
- Vendor portal (portal.rowie.io). All accounts sign in here. Owners and admins see the full business dashboard. POS and kitchen accounts get a locked-down kiosk view of the same site. Staff with the "User" role don't have portal access.
- Mobile POS app (iPhone / Android). Owners, admins, and staff take Tap to Pay payments. POS and kitchen accounts don't sign in to the mobile app.
Owner, admin, and staff
The first account at signup is the owner. Owners and admins can invite more team members from the Staff page (sidebar → People → Staff) by clicking Invite. The empty state on a fresh org also has a large amber Invite Staff button in the middle. Either opens the Invite Staff Member modal.
The form fields are:
- Email. For example,
staff@example.com. - First name and Last name.
- Phone (optional). International input with a country flag picker.
- Role. Two tile-buttons:
- Admin (shield icon, "Full portal access"). Full vendor-portal access org-wide, takes payments on the mobile app, can invite staff. There can be more than one.
- User (person icon, "App only access"). As the modal explains, "Users can only access the Rowie mobile app and are limited to the locations you assign below." This role does NOT log into the vendor portal. It's a mobile-POS-only login scoped to one or more locations.
- Assigned locations (required, only shown when role is User). Checkbox list of every location in the org. At least one must be ticked.
Click Send Invite. The invited user gets an email link that lands at rowie.io/accept-invite. They set a password and become active immediately.
Heads-up: Staff is a Pro feature. On the free plan the page is replaced by an "Upgrade to Pro" card.

POS and Kitchen system accounts (auto-created per location)
You don't manually create POS or kitchen logins. Rowie auto-creates a POS and a Kitchen system account for every location in your organisation, so you can sign a tablet on the counter or a screen in the kitchen into a dedicated, non-personal login.
To find them:
- In the vendor portal, click Organization in the sidebar (under the Account group at the bottom).
- The Locations card sits at the top of the page. Each location is its own tile.
- Inside each location tile, you'll see two sub-cards labelled POS (monitor icon) and Kitchen (chef-hat icon), each with an auto-generated email like:
pos-<short-id>@rowie.iokitchen-<short-id>@rowie.io
- For each account you'll see either "No password set yet" or a masked password row (with an eye toggle to reveal and a clipboard icon to copy). Two action links sit below:
- Generate password. Issues a random 12-character password inline. The password is then visible (eye toggle and copy) for owners and admins, so you don't have to re-issue it if you forget. Once one exists, the button label changes to Regenerate.
- Set manually. Switches the row to a text input where you type a chosen password and click Set. Press ✕ to cancel.
These accounts are scoped to the location they were created on. They sign into the vendor portal (portal.rowie.io) using the auto-generated email and the password you set. The portal recognises the account type and renders a stripped-down kiosk view: a POS account sees a cart, tables, bookings, and orders only; a kitchen account sees the kitchen display only. They can't open the full dashboard, analytics, or settings.
Tip: click the email row to copy it to your clipboard. Handy when you're typing it into a tablet across the bar.
Kitchen display
The kitchen display lives in the vendor portal, typically on a tablet mounted in the kitchen. Sign in at portal.rowie.io with the Kitchen system account auto-created for that location (visible in its card on the Organization page). The portal recognises the account and renders the kitchen view: pending rounds and per-item status controls. Staff flip items through sent, preparing, ready, served from there.
Signing out of a kiosk (POS or Kitchen)
Kiosk views deliberately don't show a visible sign-out button so a customer or accidental touch can't end the session mid-shift. To sign out:
- Triple-tap the location badge at the top-left of the kiosk header (the small pill showing the location name).
- Confirm in the modal that appears.
The account stays signed in across page reloads and tab restarts until you do this.
Switching accounts on the mobile app
The mobile app (owner / admin / staff Tap to Pay accounts) supports one signed-in account at a time. To switch:
- Tap Account in the bottom tab bar (the rightmost tab, person icon).
- Scroll to the bottom and tap Sign out.
- Sign in as the next user.
Mobile sessions are exclusive. Signing into the same user on a new phone kicks them off the previous one. The vendor portal allows multiple tabs or devices simultaneously, by design.
